Admin Coordinator/Executive Assistant This hiring is for a Solna based international Fortune 500 medical company´s account. Randstad seeks an Admin Coordinator/Executive Assistant.    Responsibilities

* Serves as a primary contact for one or multiple departments and coordinates ongoing processes for the team:
* Screen and act on incoming phone calls and e-mails; provide service and handle complaints
* Maintain distribution and personnel lists
* Coordinate mailing and courier/deliveries
* Manage department operations: filing, develop databases, track budgets, ensure stationary orders, etc.
* Coordinate functional processes such as invoicing and payments or preparation and distribution of promotional material
* Manage the administrative aspects of relationships with outside vendors
* Participate in department project teams
* Ensure timely coordination of department members’ administrative needs
* Manage calendars
* Coordinate local and international meetings; arrange travel, meeting arrangements, visitor accommodations
* Organise meeting rooms, including logistics, catering and equipment needs
* Prepare agendas, take and complete committee meeting minutes; coordinate distribution and follows up on action items
* Independently responds to routine correspondence, determine best approach and presentation when preparing and formatting correspondence, memoranda, reports and presentations




Minimum Requirements

* High School Diploma
* Minimum 3 to 5 years related experience in administrative support role
* Experience using MS Office tools
* Fluency in Swedish and English. Written and verbal.


Preferred Requirements

* Experience in similar or related disciplinary and/or international environment
* Basic knowledge of the function/business area supported such as safety, sales, customer service, etc.
* Familiar with terminology of area supported such as Marketing, Medical, Clinical Research, Logistics etc.
